Job Summary This position is responsible for the office functions, department communication, filing, maintenance of computer files, accepting and accounting for department receipts.
This position must be able to work efficiently with minimal instruction or supervision.
No supervision of department employees is granted.
This position is under the supervision of the department Director.
Essential Functions Maintains department files, records, and reports.
Primary contact person with public in person and by telephone.
Ability to communicate well, receive and transmit information accurately, account for financial transactions, and the ability to treat customers and employees with courtesy is required.
Dispatch emergency requests to Road & Bridge Superintendent.
May be asked to attend some meetings and to take notes or provide information as required.
Required to show responsibility for accepting funds from sale of supplies, transmission of funds as required by department policy, and demonstrate ability to account for funds by approved process.
Prepares reports as directed for department.
This job requirement will require a basic knowledge of computer skills, how to type, and to use common office machines for work efficiency.
Additional Responsibilities May receive and resolve or refer citizen or customer complaints.
May receive and screen office visitors and telephone calls.
Performs other related duties as assigned.
Must be punctual.
Must be able to communicate and work with others in a teamwork process for job accomplishments.
Make street name signs Order department materials such as rock, signs, tack, and other related department materials.
Knowledge, Skills, and Abilities Required for Job Performance Knowledge of fleet or road maintenance is a plus but not required.
Knowledge of clerical work standards, use of telephone, use of computer, and basic bookkeeping skills.
Ability to follow oral and written instructions.
Skilled in excel and word software.
Ability to tactfully deal with upset citizens and employees.
Ability to prepare routine reports, perform detailed work with numerical data, and to work with math computations with diligence toward accuracy of task completion as well as complete work in a timely manner.
Ability to speak and write in the English language.
Education and Experience High School Diploma or GED Considerable experience in communication skills and office equipment.
Working Conditions/Physical Demands This work is usually done in an office setting.
It is important to maintain confidentiality on any issue as directed.
It is important to maintain a business-oriented work office environment for the benefit of effective communication between employees and supervisors.
Much of this work is done using a computer.
The ability to use and learn how to use new software applications is required.
Much of this work is done without direct supervision.
There will be some basic custodial work within the office area.
Walking up and down stairs multiple times is required daily.
Lifting up to 30 pounds is required.
